When composing an email, we always: 

  • Address the email personally. The use of their name is very conducive to building interpersonal relationships with the candidates.  

  • ‘Hi’ ‘Good morning’ and so forth is a good starter. Ending an email with ‘Thanks for your patience’ or ‘Best wishes’ is also necessary, especially in a long application process.  

  • The subject of the email will always read ‘ACS Foundation:’ followed by the subject. This can be disregarded if it is an email directed to a colleague or from an individual working at the ACS.  

  • The overall language should be professional, however warm and personalised.  

  • Lines including ‘Thank you for replying promptly’, ‘We appreciate your time’ or ‘I would love to forward your application’ can be used as well.  

  • Finally, emails must always have the ‘High Importance’ button clicked.

Daily Tasks:

  1. OUTLOOK: Check your personal ACS Foundation e-mail Inbox and reply to enquires

  2. OUTLOOKCheck Info@Acsfoundation.com.au Inbox and reply to enquiries or forward as required (e.g. remittance advices)

  3. GRADING SHEET: Update the Grading Sheet with student information (import from Cognito, Indeed, ECA)

    • Chase up any applicant paperwork that still needs to be returned

    • Grade Students and forward qualified applicants to John

    • Add any new scholarship holders to 'New Offers/Extensions' Tab

    • Recycle Applicants who have not been rejected.

Weekly Tasks:

  1. Create New ACS Student Memberships / Extend Memberships

  2. Update 'ROLES tab' in Grading Excel Sheet

  3. WIX/COGNITO

    1. Add, Update, Close Roles in WIX/Cognito

    2. Distribute Roles to Career Hub, Grad Connect, ECA, MIT, WSU, Indeed

    3. Look to see if any expired roles need to be re-posted / re-opened

    4. Send Jeremy Links to Current Roles to be put in ACSF Newsletter

Fortnightly Tasks:

  1. Send New Offers & Extensions to the accountant

  2. Update Closing Dates on Roles

  3. Check up on Scholarship Holders (Page 46 of Process Documentation)

  4. Send off BHP Updated Hours
